Rules and Regulations

The tennis rules herein stated may be changed from time to time, as the Board of Trustees deems appropriate. Rules are in effect 30 days from the date they are posted.

Court Time

Court time is 1 hour 15 minutes with the first reservation at 7:00 am and the last at 8:45 pm.  Tuesday, Wednesday and Thursday the first court time is 6:00 am and is for one hour.

Adult Reservations

Reservations for adult court times may be made online at ic.clubautomation.com or by calling 503-287-2000. For day-previous reservations, you may book beginning at 8:00 am for all court times. Court times are:

  • 7:00, 8:15, 9:30, 10:45 am
  • 12:00, 1:15, 2:30, 3:45, 5:00, 6:15, 7:30 and 8:45 pm every day
  • We also have a 6:00 am court time for one hour on Tuesday, Wednesday and Thursday

Reservations will not be allowed before that time. Only one court reservation may be made per booking (online or over the phone).  A maximum of two court times per player, per day may be reserved buy may inlcude only one reservation during prime time. A $12 fine will be assessed for violations.

Members may not play on two prime time reservations. Violation of this rule will result in a $12 fine.

Adult day-previous reservations will not be allowed for individual use during prime time. To use a day-previous court during prime time, there needs to be at least two people on court playing.

Same day reservations are defined as court reservations made on the same calendar day (for example, a Monday reservation on Monday, Tuesday reservation on Tuesday, etc.). Members are not restricted on the number of court reservations (prime time or non prime time) for same day reservations.

All courts (day previous and same day) need to be canceled within four hours of the court time. If it is canceled four hours or less of the court time, the court fee will be charged unless the court is booked by another member. Please call 503-287-2000 to release your court (even if it is late) as this will allow another member to possibly book it.

The reservations rules for the outdoor court are the same as the indoor courts.

Junior Reservations

Reservations for junior court times may be made online at ic.clubautomation.com or by calling 503-287-2000.

For day previous reservations, refer to the schedule below:

  • 10:00 am ~ For Non Prime Time Hours
  • 6:00 pm ~ For Prime Time Hours, which are as follows:
    • Monday, Tuesday, Wednesday, Thursday – 8:15 am, 9:30 am, 5:00 pm, 6:15 pm, 7:30 pm
    • Friday – 8:15 am, 9:30 am
    • Saturday & Sunday – 8:15 am, 9:30 am, 10:45 am

Any infringement of this rule for booking courts early will be charged a $12 fine.

Please keep in mind that the day previous junior times only apply when it’s all juniors on the court. If an adult is playing on court with a junior, please see Adult Reservation rules.

Junior Guidelines
  • Junior members under nine years of age must be accompanied by an adult when in the Club.
  • They may not be left unsupervised unless approved by management.
  • Juniors are expected to respect the Club and obey Club rules.
  • If at any time, a staff person directs the behavior of a junior, the junior is expected to comply.
  • Any failure to do so will result in immediate suspension from the Club until there is a meeting of the junior, the parent, and General Manager.
  • At that time, the length of the suspension and a behavior contract will be determined.
  • If older than nine, the weight room may be used with the written permission of a coach, parental supervision or with management approval.
  • All juniors must take a weight room orientation to be able to use the Irvington Club Weight Room.
Prime Time Hours
  • Monday, Tuesday, Wednesday, Thursday – 8:15 am, 9:30 am, 5:00 pm. 6:15 pm, 7:30 pm
  • Friday – 8:15 am, 9:30 am
  • Saturday & Sunday – 8:15 am, 9:30 am, 10:45 am

Members may not play on two prime time reservations. Violation of this rule will result in a $12 fine. The ball machine may not be booked during prime times or during league match play. The ball machine is available for courts 3 & 4 only.

Any hours not listed here are considered non-prime time. June 15th through Labor Day there will be no prime time hours.

Men’s and Women’s Open Play

The following times are reserved for open play:

  • Women’s Night – Monday
    • 6:15 – 8:45 pm (Courts 1 – 4 & both outside)
    • 8:45 pm – 10:00 pm (Courts 1,2 & both outside)
  • Women’s Day – Wednesday
    • 9:30 am – 12:00 pm (Courts 1 – 3 & both outside)
    • 12:00 – 2:30 pm (Courts 1,2 & both outside)
  • Men’s Night – Wednesday
    • 2:30 – 5:00 pm (Courts 1, 2 & both outside)
    • 5:00 – 10:00 pm (Courts 1 – 4 & both outside)

The indoor Women’s Open Play Court from 12:00 – 2:30 pm will not be available on days when a City League match is scheduled.

No more than four guests are allowed during open play times; the first four to sign in will be accepted. Juniors may play is boys are USTA rated 4.0 and girls are USTA rated 3.5 or with the approval of the Tennis Director. If all courts are taken, adults take precedence.

Open Play Rules

Women’s Open Play (Monday) – Organized by the Tennis Director. If Tennis Director is not available, use specific formats posted on Court 1.

Women’s Open Play (Wednesday) – Eight (8) no0ad games are played. At 4-all, a 12-point tie breaker is played. Before beginning another set, check with players waiting in bleacher area.

Men’s Open Play: A regular set is played. If others are waiting, a tie breaker is played at 5-all in the set. Before beginning another set, check with players waiting in bleacher area.

Challenge Court Rules: Begins promptly at 2:30 pm for me.

  • Court 1 is for players of any skill level.
  • Winners stay on the court for a maximum of three sets.

Etiquette

Guidelines to make your play and that of others more enjoyable.

The spirit of sportsmanship incorporates courtesy, respect, thoughtfulness and discretion, and includes the following:

  • Enter your court at the reservation time, court 1 from the lounge area, courts 2, 3 and 4 from behind the east curtain.
  • No running or talking behind the curtain, please.
  • When entering or leaving your court or the bleachers wait until there is a break in play.
  • If you are watching a match, wait for a break in play before entering the bleacher area. When watching play in the bleachers, please do so quietly so as not to disturb play.
  • Strive for quiet demeanor on the court, especially when play on adjacent courts is in progress. Loud and improper language is a no-no.
  • When your ball rolls onto another court, wait until that play has stopped before asking for or retrieving the ball. Likewise, when a ball from another court rolls onto your court, wait until play has stopped before politely bouncing or rolling the ball to the player.
  • When your court time ends, leave your court promptly if others are waiting.
  • When using the ball machine, allow enough time to clear the court so that it is readily available for play for the next court time.
  • Please do not lean on the net or hit balls against the walls or curtain.
  • When you wish to use the mesh nets dividing the courts, ask the adjacent court players for their permission.
  • If questions arise, please ask a staff member for clarification.
Outdoor Court
  • When using the outdoor court, wait until your reservation time to enter the court unless it is not being used prior to your assigned time. Enter quietly through the door adjacent to indoor court 3 or from the gate on the north end of the pool. After entering the court, quietly close the door/gate behind you. When you are finished playing, quietly close the door/gate as well.
  • When using the singles/pickleball court, if the outdoor doubles court is in use, enter and exit only after there is a break in play.
  • Barefoot playing is not permitted.
Dress Code

Proper tennis attire is required at all times. Improper attire includes jeans and uncovered undergarments. Bare midriffs are not permitted indoors. Tennis shoes must have non-marking soles. Members are responsible for their guests’ attire and parents are responsible for their juniors’ attire. Staff may exercise judgment in enforcing the dress code.

Fines

A fine of $6.00 may be charged for the following:

  • Failure to cancel a court reservation 4 hours prior to reserved time
  • Improper tennis attire
  • Improper etiquette
  • Violation of published club rules and regulations

Club members may not play on two prime time, day previous court reservations in one day; violation of this rule will result in a court fine of $12.00.

Spa/Jacuzzi Rules and Regulations
  • Everyone is required to take a cleansing shower before entering the spa. All sun screen and lotion must be rinsed off!
  • A key must be signed out and returned to the front desk (or pool snack bar) for spa access.
  • No food or drink (except water in a plastic container) allowed anywhere in the locker room, including the spa enclosure.
  • A maximum of 8 people are allowed in the spa at any one time.
  • Children age three and under are not allowed in the spa.
  • No one under 16 years of age is allowed in the spa unless accompanied by a responsible adult.
  • No person suffering from a communicable disease transmittable through water shall use the spa.
  • Pregnant women should not use the spa without consulting their physician.
  • No one should spend more than 15 minutes in the spa in any one session.
  • Elderly persons and those suffering from heart disease, diabetes, high blood pressure, or those using prescription medications should consult their physician before using the spa.
  • Any individual under the influence of alcohol or other drugs should not use the spa.
  • No street shoes allowed in the spa enclosure.
  • Proper swim suit attire required.
  • Spa Hours 6:30 AM – 10:00 PM
Sauna Rules and Regulations
  • All persons are required to take a cleansing shower before entering the sauna.
  • No person suffering from a communicable disease shall use the sauna.
  • Children age three and under are not allowed in the sauna.
  • Juniors ages 4-17 must have a parent accompany them in the sauna.
  • No food or drink (except water in a plastic container) in the sauna.
  • Pregnant women should not use the sauna without consulting their physician.
  • Persons should spend no more than 20 minutes in the sauna at any one session.
  • Elderly persons and those suffering from heart disease, diabetes, or high blood pressure should consult their physician before using the sauna.
  • Any individual under the influence of alcohol or other drugs should not use the sauna.
  • A maximum of 6 people are allowed in the sauna at a time.
  • Bathing suits MUST be worn because this is a co-ed sauna.
  • If you spill water on the sauna tile, please squeegee the water into the shower.
  • Please use a towel to sit on.
  • No more than one spoonful of water should be used per sauna session.
  • When leaving the sauna, please make sure to turn the sauna light off.
  • If you notice any problems with the sauna, please inform the front desk staff.
  • When finished, please refill water bucket and keep spoon in water to prevent spoon from cracking.
Past Due Policy

Monthly statements will be mailed via US Postal Service or by email no later than the 5th of each month. Payment of monthly bills is due by the 25th day of the month. A 1.5% per month finance charge is assessed each month on all past due amounts. Finance charges will continue to accrue until the account is paid in full.

In addition to the finance charges mentioned above, past due accounts will be handled as follows:

  1. Accounts 1-30 days past due: Member will be notified by email (if we have a valid email address) of the past due balance and will be given a link to the Past Due Policy on the Irvington Club website.
  2. Accounts 31-60 days past due: Member will be notified by mail and email (if we have a valid email address) that if their past due balance is not paid by the 25th of the month, their Club membership will be suspended immediately and no Club privileges will be allowed. They will be given a link to the Past Due Policy on the Irvington Club website.
  3. Accounts 61-90 days past due for the 1st time in a rolling 12 month period: Member will be notified by mail and email (when we have a valid email address) that their membership has been suspended. The member may not use any Club facilities until their account balance is paid in full. The member will be notified that their membership will be revoked if their past due balance is not paid by the 25th of the month.
  4. Accounts over 90 days past due: Club membership will be revoked, thus allowing the Club to take in a new member immediately. No more dues will accrue to the former member’s account other than the 1.5% per month fee assessed on the unpaid balance. At manager’s discretion, the account may be turned over to a collection agency.
  5. If a membership goes past due 61-90 days for a 2nd time in the same rolling 12 month period, the membership will be revoked. Member will be notified by mail and email (if we have a valid email address) that their membership has been revoked, thus allowing the Club to take in a new membership immediately. No more dues will accrue to the former member’s account other than the 1.5% per month fee assessed on the unpaid balance, which remains due. At manager’s discretion, the account may be turned over to a collection agency.

Members who have violated this policy and whose memberships are revoked will not be eligible for reinstatement.

Members are encouraged to contact the Club manager prior to 60 days past due to discuss their account.
